Before you start
Have a few bottles or a merchant invoice beside you. Start with one shelf so you can check your records before entering a whole collection. These steps use the SmartCellar website; the scanning guides explain the mobile features.
- Create an account, then follow the verification link sent to your email address. If you are waiting for the email, check junk mail and use the resend option on the verification screen.
- Sign in and open Settings → Profile. Check your name, email and Preferred currency, then choose Save profile.
- Open My cellars. A cellar is a collection or storage place; a wine record within it holds the number of bottles you own.
Add a small batch
Create a cellar →Add wine step by step →
- Create a cellar with a recognisable name, such as Home cellar. If one already exists, open it and check that it is the place you want to use.
- Open Add wine. Search database for the producer and wine, then check the vintage before selecting a result. Use Enter a wine if the correct wine is missing.
- Choose the cellar and enter the number of bottles, not cases. Six bottles of one wine need a quantity of 6.
- Expand Purchase details and Location note if you have those details. Choose Add to cellar.
- Open the saved wine and check its name, vintage, quantity and cellar against the bottles in front of you.
Learn the three everyday updates
- Delivery: add the bottles you received. If a duplicate prompt appears, confirm only the additional quantity.
- Move within a cellar: update the Location note or move the bottle in Cellar layout. Moving a position does not add another bottle.
- Open a bottle: use Record opened bottle and save. This reduces your stock and records the tasting together. Do not reduce the quantity a second time.
Find your way around the mobile app
Sign into the same SmartCellar account on your phone to use the same collection. The website and mobile app have different navigation; if a guide says Settings, it is referring to the website unless stated otherwise.
- Cellars: open your own or shared collections. The add menu includes Add cellar, Scan bottle and Ask Cella.
- Scan: photograph a label and add bottles you own to a cellar.
- Lists: photograph a restaurant wine-list page for recommendations.
- Relive: capture wines you want to remember, grouped by occasion. These are your wishlist, not owned stock.
- Account: check membership, monthly allowances and account details. Use the website for the full Settings tabs and data export.
Build out your collection
Once the first shelf matches, continue in small batches using Keep adding after save. Try finding a bottle using only its recorded location. If another person helps, invite their own account to the cellar and choose whether they may edit it.
