Understand what each record represents
A wine record identifies a wine and vintage. Its entry in your cellar holds your quantity, purchase details, notes and locations. Quantity always means bottles. A Location note is free text; a mapped position represents one bottle in Cellar layout.
For six bottles split between a rack and a fridge in the same cellar, keep a total of 6. Either write both locations in the note, or place four bottles in the rack and two in the fridge on the map.
Correct a count or location note
- Open My cellars, select the cellar and open the wine.
- Choose Edit details. Set Quantity to the total you now own, not the number to add or subtract. For an incorrect count of 6 when you have 5, enter 5.
- Update Location note, purchase information or Notes as needed. A note such as “Stocktake 8 September: corrected 6 to 5” explains a correction later.
- Choose Save changes. If SmartCellar asks which mapped bottles are being removed, select the required positions and choose Retry quantity change.
- Check the saved quantity and, if you use a map, the remaining positions.
Use the right action for an arrival or departure
- New delivery: use Add wine and enter only the additional quantity. Confirm Add bottles if the same wine already exists.
- Opened bottle: use Record opened bottle. Saving also reduces quantity, so do not edit the count separately.
- Gift, breakage or stock correction: adjust Quantity to the new total and explain the change in Notes; do not record a tasting for wine you did not open.
- Remove from cellar removes the entire cellar entry and its remaining quantity after confirmation. It is not the action for opening one bottle from a case.
Move bottles without changing your total
Within one cellar, update Location note or move the bottle to an empty position in Cellar layout. A map move does not change stock. Editing the text note does not move mapped bottles.
The website’s Edit details form does not include a transfer-to-another-cellar control. If you need to move stock between separate cellars, note the original quantities and purchase details, reduce the source quantity, then add that quantity of the same wine to the destination. Recheck both entries: their combined count should be unchanged. This manual correction does not preserve a dedicated transfer history.
