Before you build a layout
Add your wines and quantities to the cellar first. A layout assigns positions to bottles already in your inventory; creating a rack does not create stock. A Location note remains separate from the map.
The owner creates storage units and edits their structure. An accepted collaborator with Can edit may place and move bottles. Can view access permits inspection only.
Create your first unit
- Open My cellars, open the cellar and choose Cellar layout beside Collection. You can also use Open cellar layout on a wine’s page.
- Choose Add first unit, or Add unit if units already exist.
- Enter Unit name, choose Type and set Rows and Columns to match the physical positions. For a rack holding 24 bottles in four rows of six, enter 4 rows and 6 columns.
- Set Display order if you want a particular tab order; lower numbers appear first. Choose Add unit.
- Check the grid against the real rack before placing bottles. Each active position holds one bottle.
Place bottles
- Find the wine in Unplaced bottles. Use its search box if needed.
- Select the wine, then choose an empty position. You can also drag it there. Keyboard users can select with Enter.
- Wait for the bottle to appear in the position and for the unplaced count to update. Repeat once for each physical bottle.
- Check Capacity, Occupied and Empty for the selected unit. These describe the unit, not your whole collection.
Move or unplace a bottle
Within the same unit, select an occupied position, then choose an empty position to move that bottle. Use Clear selection or Escape to cancel before placing. To move between units, unplace the bottle first, switch to the destination unit, then select that wine from Unplaced bottles and choose an empty position. Switching unit tabs clears your selection.
Use the small cross on the occupied position, labelled Remove followed by the wine and position, or drag the bottle back to Unplaced bottles, to remove its map assignment. The bottle remains in stock. When you actually open it, use Record opened bottle and select the mapped bottle if prompted.
Change the layout safely
Use Edit unit to rename or resize a unit. Move or unplace occupied positions outside a smaller boundary before reducing its rows or columns. To label a particular position or make an unusable space inactive, use its edit control; an occupied space must be emptied first.
Delete unit removes that unit’s layout and returns its mapped bottles to Unplaced bottles. It does not delete the wines or reduce their stock quantities.
If a bottle will not place
Check that you have edit access, an unplaced bottle remaining and an active empty destination. Clear an old selection and try again. After a conflict caused by someone else changing the map, refresh and check the current positions before repeating the move.
If the wine does not appear in Unplaced bottles, confirm you are in the correct cellar and that its quantity is greater than the number already mapped.
